Volunteer Staff Assistant

The Campaign for America’s Future (CAF) and the Institute for America’s Future (IAF) seek a volunteer Staff Assistant to provide key support to the organization. The Staff Assistant position presents a unique opportunity for a recent college graduate to gain exposure to the excitement of progressive politics, policy, organizations and careers. This is an excellent opportunity for a motivated individual to learn, grow, develop professionally and position themselves to pursue a fulfilling career in the progressive movement. This Staff Assistant is in the Administration Department and reports to the Chief Operating Officer.
• Welcomes visitors, determines nature of business, and announces visitors to appropriate personnel.
• Answers incoming telephone calls and forwards calls to appropriate personnel or department.
• Answers routine questions and provides callers with address, directions, and other information.
• Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
• Retrieves messages from voice mail system and forwards to appropriate personnel.
• Updates the organization’s subscription database, keeps all contact lists current and updates office files.
• Trains staff and interns on the use of the phone system and receptionist duties.
• Maintains fax machine, assists users in sending faxes, and retrieves and routes incoming faxes.
• Ensures that the reception area, waiting areas and conference rooms are clean and organized.
• Manages and acknowledges incoming resumes and informs applicants when a position has been filled.
• Maintains the kitchen by keeping the refrigerator clean, loading and unloading the dishwasher.
• Assists with data entry, correspondence, mailings, memos, reports and all staff email notices.
• Coordinates conference room scheduling and conference call scheduling.
• Orders the weekly staff breakfast and coordinates monthly staff birthday celebrations.
• Maintains confidentiality of privileged information.
• Other duties as assigned consistent with the organization’s mission and goals.
• Excellent phone manner, front desk appearance and professional attitude.
• Prior receptionist or administrative experience preferred.
• Computer literacy and Microsoft Office proficiency.
• Dedication to serving the public interest.
• College degree demonstrating relevant skills a plus.
• Excellent verbal and written communication skills.
• Strong interpersonal and organizational skills.
• Strong problem solving skills and attention to detail.
• Ability to work independently and with others as part of a team.
• Ability to manage multiple projects and to meet goals/deadlines.
• Intellectual curiosity, sense of humor, enthusiasm and motivation.
• Ability to work well with various levels of personnel.
• Must be organized and neat, punctual, courteous, hard-working, dependable and honest.
